Administration will have created a SyncTimes account for all Users. Users should have received an email with a link allowing them to create their SyncTimes password. If you have not received this email, please contact your system administrator.
SyncTimes can easily be accessed from a web browser or our app. Choose the one that make the most sense to you. The same login credentials are used on the app and a browser.
Users can access Synctimes from any web-enabled device. Login to SyncTimes by opening a Chrome browser and navigating to www.app.synctimes.com (or click the button below).
SyncTimes recommends using Chrome. Some SyncTimes features may not work correctly with other browsers.
Download the desktop app from the Applications tile on the app.synctimes.com homepage (as pictured below). The desktop app is advantageous in making the most of Notifications. The desktop app, once downloaded, is automatically configured to load and login whenever a user opens a computer Windows-based computer.
Note: The desktop app is only available on the Windows platform. Users will not see the download option that is pictured below if using a Mac.
Access SyncTimes by downloading the app from the Google Play store or from The Apple App store. Having SyncTimes on a mobile device offers the advantage of receiving notifications on your device or connected smartwatch, along with accessing Flowstation views and Analytics. Even if you don't have the app installed, Users can still receive notifications, although having the app typically streamlines the process. Having the mobile app also allows site admins to trouble shoot issues if they aren't near their desktop computer.
Once you're logged in one of the first things you'll want to do is create a Custom Flowstation View. Learn how here.
Synctimes users are equipped with a badge that is carried with them to provide Real Time Location Services (RTLS) through the Synctimes system while they are working in the clinical setting.
Badges can be worn on a User's lapel, lanyard, belt or hooked outside a pocket. They transmit infrared light and should be worn outside of clothing. Ideally, a User's Badge is worn high on the body with the logo facing out.
Charged Badge batteries should last approximately one week. If red light inside a Badge is flashing, it is time for a charge. Another way to know the Badge needs a charge is if a battery image appears on a User's image on the Flowstation.
SyncTimes provides charging ports, typically located under a large Flowstation display. To charge, Badges plug into a Micro USB charger for 3-4 hours. The red light will remain on while charging, and shut off when complete. Contact your IT department if you need additional help with this.
We recommend that Users set a recurring weekly appointment at the end of a day to charge their Badge overnight.
The following functions can be performed on the tablets that are installed inside and outside of exam rooms:
To assign an exam room to a specific provider or to change the provider, touch the Provider icon and select the correct provider from dropdown menu. All providers by department or organization will be available in this menu.
Add a patient to exam room by tapping plus icon or the Exam Room Banner (e.g. Room 07). The Banner will turn green when patient is in room and the Intake Needed icon (the clipboard) will automatically appear.
When a patient leaves the room at the end of visit, tap the Exam Room Banner. The Banner will turn white and Cleaning icon will automatically appear.
When organizations have an integration with their EHR, they will see a 'Waiting Room' tile on their Flowstation. This will show patients who have checked in and are in the waiting room.
When an EHR integration exists, care teams can specify which patient will be in the exam room when they take them back from the waiting room. When doing so, they follow the same steps as they did above but will see an option to room a patient from the waiting room.
Note: Adding multiple patients is only available when an EHR integration exists.
When multiple patients are being seen in a room, staff can account for each of these patients. Select the 'Add Patient' icon on the right hand side of the Exam Room banner and find the patient in the list of patients in the waiting room. Add each respective patient.
Note: This functionality will be available on the tablets soon and is only available when an EHR integration exist.
Patients can easily be transferred to other rooms in the clinic from the flowstation. Click on the three dots at the top right corner of the room card then select, "Transfer Patient".
Select the department and room you are transferring the patient to. Then you will be prompted on screen to decide whether you want to clear the current room or hold it if the patient will return.
If you choose to hold the room, the room color changes to orange. If you choose to clear the room, the cleaning icon appears.
When a patient will be out of the exam room for lab work, radiology, etc and will be returning to the exam room, it can be placed on hold. To place the room on hold, touch the Exam Room Banner for 2 seconds. The banner will turn from green to orange. When the patient returns to the room, tap the Exam Room banner again briefly, and the banner will return to green.
Tablets have glass screens and can be cleaned with any medical disinfecting wipes. Tapping the lock icon locks the screen for 10 seconds, allowing for cleaning without accidentally activating icons.
From any tablet, the Flowstation display can be seen by tapping the SyncTimes logo on the bottom right of the screen. When finished, tap the red x on the bottom right to return to the Exam Room page.
